Add a booking yourself
Book a session for a client you agreed it with by phone or email, with a date or with the date still to be set.
Add a booking when a client agrees a session with you directly. It is confirmed at once with nothing paid. Your client signs and pays from their pay link, or you record payments by hand.
Add the booking
- Open Bookings and select Add booking. On a client's page or an enquiry made into a client, Add booking opens the same form with the client picked.
- Pick the Client and the Package. The package needs a price. For a one-off price, make a private package first.
- If the package is paid by card and takes a deposit, choose what The client pays: the deposit first, then the rest, or the full amount at once. A package paid by bank transfer always asks for its deposit first.
- In a studio, pick Who shoots it.
- Pick the date and time, or switch on Date to be set.
- Optionally type a Shoot name and the Company for this booking.
- Keep Ask the client to sign the contract and Email the client the booking switched on, or switch them off.
- Select Add booking.
The client gets a confirmation email with a link to their pay page. There they sign the contract first, then pay by card, or read your payment instructions on a package paid by bank transfer.
Set the date later
A booking with no date shows under Date to be set at the top of Bookings. Open it and select Set date, pick the date and time, keep Email your client the date switched on, then select Set date. The booking moves into your calendar and its reminders start.
What is different
- Your working hours, booking limits and notice do not apply. A time that overlaps another session is refused.
- No balance reminder goes out while the date is not set.
- Only the account owner and admins can add a booking.
Note: Nothing is charged when you add a booking. With the deposit first, the pay link asks for the deposit, then for the rest. With the full amount, it asks for everything at once. You can also record what your client pays you.
