A children's birthday party is a two hour job, and it should cost $300 to $600 in most US markets and £200 to £400 in the UK. A first birthday with a short family portrait set before the guests arrive runs $450 to $800 (£325 to £550). An adult milestone, a 40th or a 60th with speeches, needs three or four hours and lands at $550 to $1,100 (£350 to £750). London and the big US metros sit at the top of each range, and new photographers often start just under the bottom.

How much should a kids' birthday party photographer charge?
Quote a two hour block with an image count, never an hourly rate. Parents think in "the party", not in hours, and a block stops them booking 60 minutes around the cake.
Two hours covers what a children's party actually is: arrivals, one organised activity, food, the cake and candles, presents if they open them, and a group photo while everyone still has their shoes on. Expect to deliver 100 to 150 edited images.
- Entry level: $250 to $350 (£180 to £250). Fine for building a portfolio, thin once you count the edit and the drive.
- Established: $400 to $600 (£280 to £400).
- Each extra hour: $125 to $200 (£85 to £140).

Why should a first birthday cost more?
Because the guest list changes. A one year old does not have friends, so the party is grandparents, aunts, godparents and the parents' friends, and every one of them wants a picture with the baby. That is a family session and an event in the same afternoon.
Sell it as the party plus a 20 to 30 minute portrait set: the baby, the parents, then grandparents, done before the guests arrive while the baby is fed and rested. Add $150 to $250 (£100 to £175) to the party price for it. Families pay it because those portraits end up on the wall and the party candids end up on a phone.

What should you charge for a 30th, 40th, 50th or 60th?
Adult milestones run longer and later. There is usually a meal, speeches, a cake moment and a dance floor, and the speeches never start on time. Quote three hours as the minimum and four as the default, with a late rate after 10pm.

Ask the host for a group list the week before: the guest of honour with siblings, with the school friends, with colleagues. A 60th is often the last time a whole family is in one room, and the group shots are what they reorder prints of. Twenty minutes of organised groups is worth writing into the plan.
Should you sell birthday packages or charge by the hour?
Packages. Three is enough, and the middle one is the one most parents buy.
- The party: two hours, 100 or more edited images, private online gallery. $375 (£260).
- The party and portraits: two and a half hours, the portrait set, the gallery, and a $50 print credit. $575 (£400).
- The whole day: four hours, two locations (home in the morning, venue in the afternoon), the portrait set, $100 print credit. $950 (£650).
A print credit costs you the lab price, not the face value, and it pulls the client into the gallery to order. Publish the packages where parents can see them. A birthday client compares three photographers in an evening and books whichever one shows a price.
What add-ons can you sell at a birthday party?
The ones that cost you little on the night:
- A backdrop corner. A stand, a paper roll or balloon wall and one light in a corner of the room, with you shooting guests in pairs for 30 minutes. Add $150 to $250 (£100 to £175). A three hour photo booth hire in the UK usually costs £350 to £600, so it is still the cheaper option for the host.
- Sneak peeks within 48 hours. Fifteen images for the host to post the next morning, $50 to $100.
- A second photographer for parties over 60 guests. Price it at what you pay them plus a margin, typically $250 to $400 added to the package.
- Printed thank-you cards with a party photo, ordered from the gallery.
Skip anything that adds editing without adding money, such as "every photo unedited" or a highlight video you have never made before.
How do you stop a two hour party turning into four?
Ask two questions when they book: what time is the cake, and what time do presents happen? Then centre your two hours on the cake. A party invitation that says 2pm to 5pm does not need three hours of photography; it needs 2:30 to 4:30.
Put the overtime rate in the contract and agree it with the host on the night, before the piñata comes out rather than after. Bill extra time in 30 minute steps, and bill it afterwards with the gallery so nobody pays you in cash at the door.
Should you take a deposit for a birthday party?
Yes. Birthday parties book three to eight weeks out, mostly on Saturdays, and a cancelled Saturday in party season is not refilled. Take 30 to 50 percent to hold the date, or the full amount for a package under $400. The reasoning behind the percentage is in photography deposits: how much to take.
Children get ill, so write the reschedule rule before it happens: one free move to a new date within six months, with the deposit carried over. A host cancelling the party outright loses the deposit. The cancellation policy generator drafts that clause for you.
